Conference Coordinator

The Conference Coordinator assists conference and family reunion groups by providing information, knowledge and support to ensure all Conference services are delivered in a timely, efficient, professional and ethical manner. Preferably lookings for applicants to start by April 23, 2018.

Essential Functions / Requirements:

  1. Bachelor's degree or equivalent in conference-related services, or at least one year’s experience in a related field.
  2. Must have strong organizational skills with accuracy and attention to detail.
  3. Must have strong interpersonal skills and must display effective oral and written communication skills.
  4. Must be able to work flexible hours during the times of 7 am to 10 pm or later if necessary. Must be able to work weekends and holidays.
  5. Must work well with frequent interruptions in a busy office environment.
  6. Must sit and stand, get up and down frequently, and walk around during a work shift.
  7. Must have basic computer skills and develop knowledge of property management software.
  8. Must have general knowledge of basic office equipment including a copier, fax machine, telephone.
  9. Develop a comprehensive knowledge of Estes Park Center facilities and departments.
  10. Provide guest service and assistance for approximately 1400 conferences per year.
  11. Daily filing of contracts, booking confirmations and other group materials. Responsible for organization and updates of filing procedures.
  12. Responsible for Conference Office mail, locating and recording information on contracts and booking confirmations.
  13. Locate contracts and booking confirmations with past due deposits, and collect these deposits and booking fees.
  14. Verify contracts and booking confirmations against computer records, checking for accuracy.
  15. Work with other Conference Office staff in substituting for breaks, vacation and sick time, weekend, evenings, late shift, and holiday work as required.
  16. Collaborate with other Estes Park Center departments to meet the specific needs of various conference and family reunion groups.
  17. Lead site tours and pre-conference meetings for prospective and booked groups.
  18. Assist front desk and business office staff with group/conference questions and billing issues.
  19. Support the Association safety program. Promote safe work practices and a safe environment for guests, members and staff.
  20. Uphold the YMCA of the Rockies Mission, policies and programs.

  22. Promote a cooperative, positive and problem-solving atmosphere at all times.
  23. Ability to work cooperatively with others in a diverse environment.
  24. Must meet acceptable criminal background check standards.
  25. Possess excellent customer service skills; for example, friendly, personable, helpful, patient, and professional.

COMPENSATION:

This is a full-time, year-round, position paying u $14-15 per hour,with full benefits, including:
