Facilities Assistant - Job 580

SUMMARY: 

The Facilities Assistant position provides technical and administrative assistance in the areas of facilities maintenance and customer service.  This position requires a high level of accuracy, customer service, technical knowledge of custodial operations, experience with facilities management software, an understanding of MIOSHA safety regulations, and demonstrated knowledge of building operations.  Effective communication skills, strong problem solving skills, exceptional follow up and attention to details are necessary.

 

ESSENTIAL DUTIES and RESPONSIBILITIES:

  • Responsible for data input and data management of the district’s operations management software for facilities-related functions including but not limited to HVAC equipment, commercial kitchen equipment, and/or other capital investments

  • Responsible for scheduling periodic maintenance of facilities using the district’s operations management software, calendars, and/or other methods.

  • Responsible for records management, file maintenance, for facilities-related functions and facilities related equipment

  • Assist, when needed, as back-up communications to district’s snow removal/lawn care vendor, heating and cooling contractor(s), and/or alarm monitoring vendor(s)

  • Assist with training of custodial operations at all district locations

  • Assist with emergency calls for operations support at all district locations. May be required to meet vendors on-site and ensure that communications are clear and that vendors (or our maintenance staff) meet expectations on repairs and service calls

  • Assist with High Point Pool record-keeping and pool maintenance procedures as needed

  • Assist with the licensing for the pool as well as for the commercial kitchen, meet with local authorities during inspections, ensure those facilities are kept to a standard on an ongoing basis

  • Assist with alarm codes/alarm system management

  • Assist with a professional development series geared to support custodial/maintenance operations county-wide on an ongoing basis

  • Assist with developing and maintaining an inventory system for surplus assets (furniture/fixtures)

  • Perform administrative functions using district software, email, phones

  • OTHER DUTIES AS ASSIGNED.

 

SUPERVISORY RESPONSIBILITIES:

  • Supervises custodial staff, student workers and contractors

 

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:

  • Experience in Supervision

  • Custodial Operation

  • Technical Experience with Machinery; HVAC or Mechanical Systems

  • Knowledge of the School Dude Management System or other building management software systems

  • Ability to obtain Aquatic Facility Operator Certification

 

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Technical certifications (HVAC, electrical, boiler) preferred but not required

 

LANGUAGE SKILLS:

  • Ability to read, analyze and interpret general educational periodicals, professional journals, or governmental regulations.

  • Ability to write reports, business correspondence and procedural manuals. 

  • Ability to effectively present information and respond to questions from groups of administrators, parents, students and the general public.


TECHNICAL SKILLS:

  • Ability to utilize District technology and work to maintain proficiency, as required skill sets change with technology and/or the needs of the District.

  • Ability to use a personal computer (PC) or MAC in a networked environment to utilize the Internet and other electronic communications mechanisms, such as email conferencing or messaging boards. 

  • Knowledge of productivity applications such as Microsoft Office (word processing, spreadsheets, database and presentation software) is required.

  • Ability to use computer technology for research, data management, communications and other instruction.


 

 

MATHEMATICAL SKILLS:

  • Ability to understand and effectively apply budgeting concepts

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.

  • Ability to compute rate, ratio and percent and to draw and interpret bar graphs.


REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Highly proficient in subject areas of: reasoning, problem solving, organizational dynamics and emotional intelligence.


INTERPERSONAL SKILLS:

  • Ability to build rapport with others and to serve diverse publics.

  • Ability to take initiative; work well with others as a collaborative team member and exhibit good communication skills.

  • Ability to work effectively and collaboratively with other departments, agencies and individuals.

  • Ability to demonstrate initiative and understanding in working with students, staff and parents/guardians.

While performing the duties of this job, the employee is frequently required to sit, walk and stand. The employee is occasionally required to bend and or twist at the trunk more than the average person. The employee is continuously repeating the same hand, arm or finger motion many times. The employee is frequently required to talk or hear. The employee must occasionally lift and/or move up to 50 pounds such as books and teaching material. Specific vision abilities required by this job include close vision, distant vision and the ability to adjust focus. The ability to travel to other buildings is required. The ability to work outside for extended periods of time in all weather. The position requires the individual to sometimes work irregular or extended work hours and meet multiple demands from several people.

The noise level in the work environment is quiet to loud depending upon the activity in the particular part of the day. The employee is frequently required to interact with the public and other staff.  The employee is exposed to infections at a greater risk than the average person. Occasionally the employee may be required to be outdoors for a short period of time, and therefore subject to varying weather conditions, for purposes of accomplishing the essential functions of this job.
