Additional Details:

  • Limited Duration: This is a limited duration appointment that is scheduled until 11/30/2018, though the duration can change at any time due to business needs. Limited duration appointments are benefits eligible with a designated maximum length of service.
  • This position is represented by the Service Employees International Union (SEIU/OPEU).

Duties and Responsibilities:

  • Process payroll, standard labor, invoice payments and travel expense claims with accuracy and resolve any discrepancies.
  • Receive, sort, copy, distribute, track and file incoming and outgoing mail.
  • Respond to messages from internal and external customers including the public in person or via phone, fax or email.
  • Manage and schedule various meetings and conference room spaces.
  • Schedule, track and reconcile pool vehicle and travel reservations.
  • Schedule and coordinate office building and fleet equipment maintenance and repairs.
  • Gather, review, reconcile and track various asset, real property and financial reports.
  • Compose and edit written correspondence, reports, meeting minutes, memos and other various written materials.
  • Develop and maintain a good rapport and positive working relationships with internal and external business partners.
  • Must maintain and adhere to strict confidentiality policies and document handling procedures.
  • Operate copiers, printers and fax machines and schedule necessary general office equipment maintenance and repairs.
  • Provide general support to the office coordinator, area and maintenance staff and management teams.

Minimum Qualifications:
Two (2) years of general clerical experience, one year of which included typing, word processing, or other experience generating documents;
OR
An associate's degree in office occupations or office technology;
OR
Graduation from a private school of business with a certificate in office occupations or office technology and one year of general clerical experience.
 
College courses in office occupations or office technology will substitute for the required experience on a year-for-year basis.
 
Special Qualifications:
Driving is an essential function of this position. To have and have the ability to maintain a valid driver license and an acceptable driving record are required for this position. We will conduct pre-employment driving records checks on our final candidate(s).

Working Conditions:

  • Typical office environment with frequent use of computers each workday.
  • Working hours for this position are 8:00 a.m. to 5:00 p.m., Monday through Friday.
  • Workload may involve long hours including weekends and holidays.
  • Occasional required overtime due to adverse weather conditions, emergency conditions, or other business needs.
  • Occasional travel required, including overnight travel.
  • This position interacts with individuals who may be adversarial at times.
