Executive Secretary to the VP for Economic, Community and College Development

Position Description:    

To serve as a key communications link between the Vice President and other related internal positions and offices of the College, as well as the external community, to provide various administrative support activities necessary for the smooth and efficient functioning of the Office of the Vice President.

 

Essential Job Duties and Responsibilities:

•             Provide secretarial services including, but not limited to, electronic mail communication, transcription of meeting agenda and minutes, composition of letters, memorandums and various documents, receipt and distribution of mail, maintenance of electronic and paper files, copying, scanning, travel arrangements, scheduling appointments, conferences and meetings, processing purchasing requests, and maintaining the Vice President’s calendar.

•             Maintain communications link between divisional and department areas by receiving, screening and directing inquiries, requests, grievances and complaints from College staff, students and community members.

•             Work with divisional directors and their secretaries in coordinating the distribution of documents and/or information to and from the Office of the Vice President.

•             Assist in the preparation of materials for Board meetings, organizational changes and divisional staff requests as needed.

•             Assist in the development and adherence to the office budget.

•             Maintain all records and files including confidential correspondence with staff.

•             Prepare and update log of various requests, forms, reports, assignments, waiver requirements, contracts and schedules.

 

Related Duties:

•             Assist with the training, delegate and oversee work of temporary staff assigned to area.

•             Maintain office supplies and equipment as needed.

•             Provide clerical support services for other staff and committee members with related divisional responsibilities.

•             Perform other related duties as requested by supervisor.

 

Minimum Qualifications:              

•             High School Diploma or GED and 60 credit hours in related coursework and seven (7) years of demonstrated progressive responsibility secretarial or administrative assistant work experience OR the equivalent combination of education and work experience. Associate Degree in Executive Secretarial program preferred.

•             Demonstrated proficiency in Microsoft Office programs including Word, Excel, Access, Outlook, PowerPoint, and letter composition. Microsoft Office Certification preferred. New testing will be required for applicants where appropriate.

•             Proficiency in basic math, spelling, proofreading, data entry filing, and telephone etiquette. Accurate keyboarding at 65 wpm.

•             Note taking ability at 100% accuracy and ability to transcribe notes into acceptable minutes and reports. Strong interpersonal skills to deal effectively with the various College and community publics.

•             Strong customer service and rapid response orientation.

•             Strong communication skills for dealing effectively with internal and external customers.

•             Strong ability to organize workload and attend to details.

•             Ability to appropriately handle confidential matters.

•             Ability to problem solve in a timely and efficient manner.

•             Ability to work with statistical information/numbers.
